Hiring a Painter in Poland — a Practical Guide for Expats

Hiring trades in a country whose language you are still learning is uncomfortable, and painting is the trade where the pricing convention differs most from what you may be used to. This is what actually matters in Poland.

Rates are per m² of wall, not per m² of floor

This is the number one source of confusion. Polish painters quote per square metre of working surface — the walls plus the ceiling — not the floor area of the flat.

A 15 m² room with 2.6 m ceilings has roughly 51 m² of paintable surface: about 36 m² of wall (after deducting around 10% for windows and doors) plus a 15 m² ceiling. That is more than three times the floor area.

So when you compare two quotes, the first question is not “how much per m²” but “per m² of what?” A quote of PLN 40/m² of floor and one of PLN 20/m² of working surface can come to nearly identical money.

Expect a minimum order

Most established companies have a minimum, typically around PLN 2,000 net. It is not a scam: mobilising a crew, tools and protective materials costs the same for one room as for five. What you should be suspicious of is a company that hides the minimum until the quote arrives.

Net or gross? Always ask

Polish trades quote net (netto) by default, and VAT on painting services is normally 23%. A PLN 3,300 net quote is about PLN 4,060 gross. If a quote does not say which it is, assume net and ask — this single question prevents most unpleasant surprises.

What a proper quote contains

If you get a single number by text message with no breakdown, you cannot compare it to anything, and neither can you dispute it later.

The contract and the deposit

For anything beyond a single room, get a written contract (umowa). It should state the scope, the price, the completion date and the warranty. On our jobs the deposit is capped at 30% with the balance due after you accept the work — treat a demand for 50% or more upfront as a warning sign.

Insist on a VAT invoice

A registered company issues a VAT invoice (faktura VAT). It matters more than it seems:

A contractor who offers a discount “without an invoice” is offering you a job with no recourse.

Four questions that filter out the risk

  1. Do you employ your own crew, or subcontract? Subcontracting is not automatically bad, but it tells you who is accountable.
  2. What warranty do you give, in writing? Twenty-four months is the standard we work to.
  3. Do you carry liability insurance, and for how much? Ours is up to PLN 4,000,000. This is what covers your floor if a paint can goes over.
  4. Can I have a VAT invoice? If the answer is anything other than yes, stop.

Two coats, and why it is not an upsell

Polish quotes usually specify malowanie dwukrotne — two-coat painting, meaning primer plus two layers. It is the standard whenever you change colour, paint new plaster, or repaint after damp. A single-coat quote will look cheaper and will show the old colour through the edges. If one quote is dramatically below the others, check the number of coats before you assume you found a bargain.

Timing

Summer is the busy season, driven by tenancy changes — July to September is when good crews book out. If your move-out date is fixed, ask for a date in the contract rather than “next week”.

Doing it in English

Not every crew works in English, and a translator on site is a poor substitute when a decision has to be made about a wall. We run the quote, the contract and daily communication in English, and we can talk to a Polish-speaking landlord or agency directly on your behalf.
